Personal Assistant to Directors

(Permanent, Full Time 38.75 hours)

Your new role:

As PA to Directors, you will be joining a skilled and passionate team. Your role will be to provide efficient, confidential and professional secretarial support to the Managing Director, Marketing Director and the Finance Director. You will proactively maintain the highest standards of customer care to internal and external contacts at all levels and create a friendly, approachable but professional conduit between the Management Leadership Team (MLT) and the rest of the Company.  Your duties will include:

  • Diary Management – Complex calendar management and management of various email accounts
  • Event Management – Supporting the Marketing function with event management for bi-annual Company and Sales & Marketing Conferences, organisation of MLT meetings and strategy days and organisation of Corporate events.
  • Travel & Accommodation – Coordinating and scheduling complex travel arrangements to include air, train, hotel, Visa’s and ground transportation in advance and accurately
  • Minute Taking – Ensuring all agendas are circulated in advance of the meeting and briefing packs are completed and distributed on schedule. Ensuring all minutes are signed off within 72 hours of the meeting
  • General Administration – Provide a high quality and wide-ranging secretarial and organisational support service including contributing to the Project Steering process, managing expenses and credit cards, providing reports and drafting presentations for the MD when required as well as supporting the rest of the Administration team and other Personal Assistants.


What you’ll need to succeed:

To be successful in this position you will have:

  • Previous experience in a Personal Assistant position supporting at senior levels
  • Strong business administration skills and commercial acumen
  • Flexibility – core working hours are 8:45am – 5:30pm, however, the successful candidate will need to be flexible between 7am and 8pm as well as some overnight stays when the need arises (on rare occasions this may be up to 3 nights consecutively)
  • Excellent verbal and written communication skills
  • Discretion and confidentiality at its highest level
  • A confident problem-solver, who is flexible in their approach and works well under pressure
  • Excellent interpersonal skills with the ability to establish and maintain professional working relationships at all levels
  • Confident, proactive and composed at all times
  • High level of initiative and particularly self-motivated
  • Level 3 or equivalent literacy and numeracy
  • Intermediate Microsoft Office applications – confident skills in PowerPoint would be advantageous

It is a full time, permanent role, core hours of work are 8:45am to 5:30pm, Monday to Friday, however, flexibility with this will also be required.
